1. Purpose and scope
This policy describes the standards expected when using PortGate Nexus for import, export, customs, payment, insurance, financing, warehousing and logistics workflows. It applies to clients, officers, administrators, partners and anyone submitting information through the platform.
2. User responsibilities
Users must provide complete, current and truthful information and must have authority to submit all data and documents uploaded to the platform.
- Verify product descriptions, quantities, values, origin, supplier details, HS codes, permits and supporting documents before submission.
- Keep originals and any records required by customs, tax, financial, insurance or sector regulators.
- Promptly correct errors and disclose changes that could affect classification, valuation, eligibility, risk or regulatory treatment.
- Cooperate with reasonable verification and due-diligence requests.
3. Prohibited activity
The platform must not be used to facilitate:
- False declarations, forged documents, invoice manipulation, misclassification, undervaluation, concealment or customs evasion.
- Money laundering, terrorist financing, sanctions evasion, bribery, fraud or other unlawful financial activity.
- Trade in prohibited, restricted, counterfeit, stolen, hazardous or controlled goods without the required authorisation.
- Unauthorised access, interference with screening controls, or attempts to conceal the identity of a party or beneficial owner.
4. Screening and verification
PortGate Nexus may screen documents, identities, transactions, suppliers, destinations, products and payments. A transaction may be delayed, escalated, rejected, reported or suspended where information is incomplete, inconsistent, high-risk or potentially unlawful. We may request additional records or independent verification.
5. Regulatory framework
Services may be affected by requirements administered by bodies including the Nigeria Customs Service, Central Bank of Nigeria, Standards Organisation of Nigeria, NAFDAC, NAICOM, FCCPC, Nigeria Data Protection Commission, port authorities, tax authorities and equivalent authorities in other jurisdictions. PortGate Nexus is an independent company and is not part of, or endorsed by, any of these bodies. Users remain responsible for identifying and meeting the rules that apply to their goods and transactions.
6. Advisory tools and human review
HS-code suggestions, duty estimates, risk indicators, exchange-rate information, document extraction and AI-generated guidance are decision-support tools. They are not binding decisions by customs or any other regulator. Important submissions should be independently reviewed, and PortGate officers may escalate uncertain or high-risk results.
7. Records and monitoring
We may keep compliance, transaction, communication, access and decision records where reasonably necessary for service delivery, audit, security, dispute handling and legal obligations. Access is limited by role and operational need. See our Privacy Policy for how we handle personal data.
8. Reporting concerns
Report suspected fraud, document manipulation, conflicts of interest, security incidents or other compliance concerns to enquiry@portgatenexus.com. Reports will be reviewed and escalated as appropriate. Please do not submit knowingly false or retaliatory allegations.
9. Enforcement and updates
Breaching this policy may lead to requests for correction, transaction holds, restricted access, suspension, termination, or referral to an appropriate authority where required. We may update this policy as laws, regulatory guidance, risks and platform services change.
